We offer book editing, formatting, and cover design services, with the editing department currently being our largest. We are expanding into education with our Academy, which offers courses in fiction writing, traditional publishing, and more.

As we grow into new endeavors, we need to grow the team as well—and that includes the vital role of Customer Communications.

This position is designed for someone with sales/marketing experience who is interested in working in the indie book world at a small but growing business.

We are looking for someone with passion for the written word, ideally with experience working at a publishing house, editing company, literary agency, newspaper, or other related field (or as a self-employed editor, writer, etc.). Candidates should have a strong grasp of the English language, a good understanding of the literary world, and, ideally, be writers in their own right.

You would be working with our team of dedicated editors, formatters, and designers, as well as talking with authors over email and over the phone/Zoom to answer questions, suggest products, and ensure they get what they need for their books.

Your duties may include, but are not limited to:

  • Being on the “front lines” with the clients, answering questions as they come in on our website and via email, selling them the right product for their book, and generally being the liaison between the author and the editors/designers at the company as WWM performs the services the author purchased. This would require a thorough understanding of our services, prices, etc.—we will conduct training on this and provide ample information.
  • Conduct phone/Zoom calls with potential clients in a professional and well-informed manner.
  • Tracking new orders in our Trello system.
  • Checking in on authors and editors who are reaching their deadlines.
  • Communicating with the team on Slack.
  • Attending meetings as necessary with the rest of the team.

The ideal candidate is:

  • A passionate writer and/or reader who wants to get their foot in the door of the publishing/literary world.
  • Someone with sales/customer service experience who is ready to use those skills to sell something they’re actually passionate about.
  • Someone who aligns with our mission (stated above).
  • Responsible and always does what they say they will do.
  • Fluent in American English and uses proper spelling and grammar (we ARE an editing company, after all!), specifically in accordance with the Chicago Manual of Style (can be purchased at https://www.chicagomanualofstyle.org/).
  • A college or university graduate in a writing, literature, English, journalism, or related degree program.
  • Comfortable with Gmail, Google Docs, Zoom, Slack, Trello, and Microsoft Word.
  • Great at time management and self-motivation, and able to track time spent on tasks.
  • Able to follow through on projects.
  • Able to give feedback and communicate in a kind, but constructive manner, even to not-so-nice clients who are in high-stress situations.
  • Detail-oriented.
  • Not afraid to ask for help.
  • Able to take and grow from criticism.
  • Able to take on a professional but fun and relatable tone, especially in front of clients.
  • Not going to use software or AI programs like ChatGPT (this includes writing emails), and not going to outsource or share your assignments with anyone. Our clients are promised discretion—you will not be allowed to share or discuss the tasks you're working on (or the clients you’re working with) with anyone outside the company.
  • The owner of a computer and access to a strong Wi-Fi connection.
  • Available during the 9-5 Eastern time workday, at least for some hours.

It would be a bonus if you were also:

  • A writer/author of any level, especially if you are published in some form.
  • Interested in design, such as book cover design or making visual marketing material.
  • Able to handle working on books with emotionally challenging topics, like physical illness, mental illness, abuse, addiction, grief, relationship struggles, and sexuality. While you won’t be in the books themselves, you will likely need to read descriptions or discuss these topics in a zoomed-out way with clients who wrote books about these things.
  • Able to work with clients who may not align with your religious beliefs, political views, etc., without getting in theological/political/etc. arguments with them.

Additional Info

  • This is a contract position, not full-time employment.
  • The Customer Communications Specialist will be paid $20/hr. The number of hours will fluctuate per week based on what is needed, but we anticipate it will be about 10-20 per week to start (2-4 hours per day), with growth in the future.
